Scheduling rules: every rule, and a good place to start

For owners and managers2 min readUpdated

Rules are checked when you book people and when they clock in. Each one is on or off, and either warns (you can go ahead anyway) or blocks (nobody can). Here is every rule on the screen, in its order.

Step 1: Open the rules

Open Menu → Rules. The top line says how many rules are on.

  1. Tap a rule to open it: switch it on, set its numbers, and choose Warn or Block.

The first sections set how your company works: How your work runs (which way of adding shifts is suggested), Departments work separately, Breaks (break rules), Travel time (travel pay) and signing out someone who still holds equipment.

Step 2: Clock-in and clock-out

  1. Early clock-in restriction: how early before the start people can sign in. A good start: on, Warn, 15 minutes.
  2. Early clock-out restriction: ending a shift early needs an approval.
  3. Only managers change times: supervisors sign in and out as it happens, and can’t change a time later. More.
  4. Auto clock-out: ends forgotten shifts after the scheduled end. Worth turning on.
  5. No-show rule: marks a no-show by itself after a delay.
  6. Geo-fencing: people must be at the site to clock in.
  7. Live location before shifts: see who is on the way. More.
  8. Standards check at sign-in and Rate the shift at sign-out: a checklist when people sign in, and a rating when they sign out.

Step 3: Hours, overtime and scheduling

  1. Require approval to work overtime: a booking that would go into overtime needs an OK first.
  2. Maximum consecutive days and Minimum rest time: for example warn at 6 days in a row, or less than 8 hours between shifts.
  3. Availability enforcement: on, in Warn mode, unless you switch it off. Booking someone when they can’t work tells you why, with Book anyway.
  4. Shift conflict detection: someone booked on two shifts at once. Block is the safe choice.
  5. Requirements in date: booking someone missing a licence or certificate the shift needs, or a hiring paper they need to work (Ready to work).
  6. Minimum staffing, Maximum staffing limit and Schedule change notice: enough crew, not too many, and notice before a shift changes.

Step 4: Shift management

  1. Approve swaps & drops: on, each one waits in Requests for a manager. How swaps work.
  2. Offer response time: an offer nobody answers lapses after this long, and the spot opens again.
  3. Open shift eligibility: who may ask for open shifts.

You’re done when…

  • You have looked at every rule and chosen Warn or Block for the ones you use.
  • Auto clock-out is on, so nobody stays on the clock all night.

Good to know

  • A warning tells you which rule spoke; with Warn you can go ahead, with Block nobody can, owners included.
  • A worker can never get past a rule by themselves.
