How to build a weekly shift schedule for event staff
Set up a job site once, add the week’s shifts, and let Ur Timesheet fill the spots with people who have the role and are free. Here’s how, step by step.
Step 1: Add your job site
- Open Job sites in the menu.
- Tap + and give the site its name and address, so your crew sees where to go. You do this once; every shift there starts from it.

Step 2: Add a shift
Open the site and tap Add shift.
- Name the shift.
- Set the hours.
- Or tap a saved deployment, like Concert night · 9, to fill everything in one tap.
- Tap + for how many of each position you need. Then tap Next, pick the days, and choose who works.
On the last step, Who, choose Auto-fill to see the app’s picks straight away, Later to add the shifts open, or Pick people myself.

Step 3: Fill the open spots
- On the shift, tap Auto-fill open spots. Ur Timesheet picks people who have the role and are free that day. You can still add someone by hand with Quick add.

Step 4: Check the picks and send offers
Before anything goes out, you see who was picked and why: their hours that week, and how often they’ve worked there.
- Check how many spots are filled, and whether anyone would go into overtime.
- Tap Change to swap someone.
- Tap Send offers (the button says how many). Each person gets the offer in the app.

Step 5: Copy the week
- When the week looks right, open the site and tap Copy this week to next week. You build the week once and reuse it.

Good to know
- Workers see a new shift in the app straight away, with the site, the time and what to bring.
- If someone asks to drop a shift and you approve it, the spot opens again and you can fill it the same way.
- Clocked-in hours go into the timesheet, ready to export for payroll.
