Send an offer, withdraw it or send it again

For owners and managers2 min readUpdated

A job offer brings someone onto your team the way an invite does, with the job written down: the role, pay, first day, hours, where and who they report to, your own offer letter to sign, and your hiring packet. They join only when they accept it.

Step 1: Start the offer

Open Menu → Hire → Applications and open the person.

  1. Tap Hired. Send an offer opens.

Someone who hasn’t applied: Menu → Employees → Invite, then Send an offer, to an email you type. Someone already working for you gets Send a paper instead.

Step 2: Fill in the offer

  1. The job: the role, the pay, the first day, the hours, where and who they report to. Pay shows only for people who can view pay rates; without it, the offer has no pay line.
  2. Your offer letter, if you like: your own PDF. With a letter they sign it to accept; without one they just accept.
  3. Packet and Offer ends: the packet for that role is picked for you, and the offer stays open 7 days unless you pick others.

Tap Send offer. They get it in the app and by email, with an account or not. When they accept, the role, pay and first day go onto their profile, so nobody types them twice.

Step 3: Follow it, withdraw it or send it again

Open the offer from Hire → Packets → People starting, or from the application.

  1. Withdraw takes it back until they accept. They are told, and the invite goes.
  2. Send it again sends the email and the notice again.

An offer that ended, was withdrawn or was declined has Send a new offer: a new one with the same job. Once they accept, their papers open from it.

An offer that is out.

You’re done when…

  • Your offer is out, and People starting shows it until they accept.

Good to know

  • One open offer per person. Accepting joins your team the way an invite does, and gives them their own copy of the packet. Until then they are not on your roster.
  • You are told when they accept or decline, in the app and on the phone. Their application and People starting say Offer sent, Declined offer or Offer ended (its days ran out). They are reminded the day before it ends.
  • Only people who can View pay rates put pay in an offer, or see it. Sending, withdrawing and sending again need Review applications.
  • Moving a Hired application back, or turning them down, withdraws the offer while it still waits. An offer they accepted can’t be withdrawn: parting ways is ending the job, in Employees.
  • Chief of Staff can send an offer without a letter from a plan you confirm, and undo withdraws it.
