Tips: cash tips, shared tips and clients’ tip offers
Tips come in two kinds. Cash tips are money a worker was already given: they report it when they sign out, it goes on their Timesheet for payroll, and it is never added to their pay. Shared tips are money you collected for the crew, like card tips, a tip jar or a client’s tip: you add them to a shift, they are split across the people who worked it, and paid with their wages. Ur Timesheet never moves money: it records the tips and tells payroll.
Step 1: Turn on Tips
Open Menu → Payroll and tap Edit. Tips is off until you turn it on.
- Turn on Tips.
- Ask for cash tips at sign-out: All job sites, or Chosen job sites to ask only where your crew gets cash tips.
- Split shared tips: By hours worked or Equal shares. This is where every shift’s split starts; whoever adds tips can change it.
- Clients can offer a tip for the crew (with Pro): their offers arrive in Requests → Client. Then tap Save changes.
The owner and admins change these settings. The permission Add and split tips (Menu → Roles) lets someone add shared tips, change cash tips with a reason and answer clients’ offers, at the job sites they reach. Admin, Manager and HR / Payroll have it to start.

Step 2: Choose the job sites that ask
With Chosen job sites, open each job site where your crew gets cash tips (Menu → Job sites → the site).
- Turn on Ask for cash tips at sign-out on the job site’s page. Signing out of a shift anywhere else doesn’t ask.
It can be any site you staff, a client’s own too. With All job sites, every site asks and the switch isn’t there.

Step 3: Your crew reports their cash tips
Where the shift asks, signing out asks Any cash tips tonight?
- They type what they were given, or tap a quick amount, and tap Save and sign out.
- Or they tap No cash tips. It never stops anyone signing out.
Forgot, or got it wrong? They can add or change their cash tips on the shift until its Timesheet is sent for approval. After that they ask a manager.

Step 4: Add shared tips to a shift
Open the shift (from Home or its job site) and tap Tips, next to Notes and Breaks. Under Add shared tips:
- Type the Amount, and pick where it came from: Card tips, Tip jar, Client tip or Other.
- Pick how to split it: By hours (each person’s paid hours), Equal, or Set each to type each person’s amount. Set each has to add up to the total, and is paid as set even if a Timesheet changes later.
You can add shared tips once the shift has happened, or once someone has signed in.

Step 5: Choose who shares it, and add it
- Everyone who worked is ticked, with what each person gets. Untick someone to leave them out.
- Add a note for the crew if you like, and tap Add and tell the crew.
Each person gets a notice with their share, which is paid with their wages. Each share is rounded down to the cent, and the cents left over go to whoever worked the most. Added by mistake? Take it off from the list at the top (Remove): each person’s share comes off their pay, and they are told. A client’s tip can’t be taken off.

Step 6: Change someone’s cash tips
On the shift’s Tips, Cash tips the crew reported lists what each person reported. Tap Change next to a name.
- Type the right amount, or leave it empty for none.
- Say why you are changing it, and save. They get a notice with your reason, and the change is kept with the Timesheet.

Step 7: Approve the Timesheet
Where timesheets are approved before payroll, open the shift’s Timesheet from Timesheets → Waiting for your approval.
- Each person’s Cash and Shared tips show beside their name.
- Tap Approve. It locks the cash tips with the times.
A split by hours follows the Timesheet’s hours until it is approved, then stays as it is. After that a manager can still change cash tips, with a reason. Submit and approve timesheets.

Step 8: Tips in the payroll summary
Open Menu → Payroll → Payroll summary. The tips show when anyone has some in the pay period.
- Shared tips are in each person’s estimated pay.
- Cash tips (reported) are listed for your payroll program to work out the tax. They are never added to the pay.
The download (CSV or PDF) has the same two columns. A shared tip added once its shift’s pay period has ended counts in the pay period that is open, so a period payroll may already have run never changes. If nobody on a shift counts as having worked it any more, Check these first says its tips have nobody to share them: correct its Timesheet, or take the tips off. Payroll summary.

Step 9: Answer a client’s tip offer
With Pro and Clients can offer a tip for the crew on, a client can offer a tip for the crew of one of their shifts. It arrives in Menu → Requests → Client as a Tip offer.
- Open it: the client, the shift, the amount and their note.
- Add to shared tips adds it to that shift, from Client tip, split by hours worked, and tells the crew. Decline asks for a note the client reads.
The client is told either way. Ur Timesheet takes no payment: bill the client for it yourself. What clients see.

Good to know
- Workers only ever see their own tips: their cash tips and their share, with how it was split. Clients never see anyone’s tips, the split or pay.
- Workers see their tips on Pay: shared tips in the pay period, cash tips they kept under it, and Tips this year. Something wrong? They dispute the day with My tips are wrong. Your hours and pay.
- Every plan has Tips. Clients’ tip offers come with Pro.
